Notice of Biometric Data Collection
For employers
Provide this notice to employees before face enrollment at kiosk. Add your organization name and HR contact details before distributing.

What we collect
When you use the Traklyn kiosk to clock in or clock out, your employer may collect and process:
- Your 4-digit employee PIN (to identify you at the kiosk)
- A reference photo of your face (taken during enrollment)
- A biometric face template stored in a secure, organization-specific collection
- A live face scan with liveness detection each time you punch
- Punch records: date, time, clock-in or clock-out, whether face verification succeeded, and linked shift
Why we collect it
To verify your identity when recording work time, reduce time fraud, and create accurate timesheet records.
Who processes it
- Your employer — decides to use kiosk timekeeping and enrolls employees
- Traklyn / Nexsysi — provides the software platform
- Authorized infrastructure providers — store enrollment photos and process face matching; liveness verification may use services in Canada or the United States
How long we keep it
Biometric data is kept while you are enrolled in kiosk timekeeping and as required for timekeeping and employment records. When you leave employment or kiosk enrollment is removed, your organization should delete or request deletion of your biometric enrollment.
Your choices
- Enrollment is required only if your employer chooses kiosk timekeeping and assigns you a PIN
- If you have concerns, contact your employer's HR or privacy contact
- Your employer may offer alternative time-tracking methods where required by law
Security
PINs and face templates are stored securely. Do not share your PIN. Report lost credentials or suspected misuse to your supervisor immediately.
